Introduction
This manual explains how to integrate the Cloudbeds property‑management system with the Dizlog POS system. The integration allows checked‑in reservations from Cloudbeds to appear in Dizlog so that orders placed through the POS can be posted to guest folios, either paid immediately or charged to the room and settled at checkout.
Prerequisites
Before you begin, ensure that you have the following:
An active Cloudbeds account with administrator access to install marketplace applications.
Access to the Cloudbeds Marketplace and the Dizlog POS application page.
A Dizlog POS account and access to your POS terminal.
API key and webhook URL generated by Cloudbeds (if required by your Dizlog installation).
Step 1 – Locate the Dizlog POS App in Cloudbeds Marketplace
Sign in to your Cloudbeds account and open the Marketplace.
Search for “Dizlog POS” in the marketplace and open the application page.
Review the application information to confirm it’s the correct integration for your property.
Step 2 – Authorise Connection
On the Dizlog POS application page, click Connect. A permissions window appears showing what data Dizlog will access.
If prompted, sign in with your Cloudbeds credentials. After login, you return to the permissions page.
Review the requested permissions and click Authorize or Allow to grant access.
Cloudbeds will confirm that the Dizlog POS app is connected.
Step 3 – Configure API Key and Webhook
After authorisation, open the Dizlog POS system.
Navigate to the integration settings and locate the Cloudbeds section.
Enter the API key and webhook URL provided by Cloudbeds (if your version of Dizlog requires them).
Save your changes.
Return to the Cloudbeds application page and refresh it. The integration status should now display “Enabled.”
Step 4 – Verify Integration
On your Dizlog POS terminal, a Reservation button should now appear.
Click the button to view reservations that have checked‑in guests.
If no reservations appear, create and check in a test reservation in Cloudbeds. After check‑in, open the Reservation list again; you should see the new reservation.
Operational Scenarios
Posting Orders with Immediate Payment
With a guest reservation selected in the reservation list, begin adding items to the order in the Dizlog POS.
When the customer is ready to pay, choose the payment method (e.g., cash, card).
Complete the payment. Dizlog prints a receipt showing the reservation ID and customer details.
The order posts to the guest’s folio in Cloudbeds as a paid transaction with the order number recorded. You can verify this by opening the guest’s folio in Cloudbeds.
Charging Orders to the Room
Select the guest reservation and add items to the order.
Choose the Charge‑to‑Room option instead of immediate payment.
Dizlog posts the order amount to the guest’s folio as an outstanding balance. The system may prompt you to select a reservation if you haven’t done so.
The charge will be settled when the guest checks out through Cloudbeds or via the POS checkout process.
If additional charges or credits (e.g., deposits or bonuses) exist, Dizlog will add them to the folio balance.
Checking Out a Guest via Dizlog POS
When a guest is ready to depart, select their reservation and choose the Check‑Out function in Dizlog.
Review the final folio total, including room charges, POS orders, and any additional fees or credits.
Process the final payment (cash, card, or charge to card on file).
Dizlog prints the final receipt, which includes the reservation ID and all details of the guest’s stay and purchases.
The checkout action updates the folio in Cloudbeds, and the reservation no longer appears in the reservation list.
Troubleshooting & Notes
Reservation list empty: If the Reservation button does not display after integration, refresh the POS or log out and back in. Ensure guests are marked as Checked‑In in Cloudbeds; otherwise they will not appear in the reservation list.
Charge‑to‑room prompts: Always select the correct reservation before charging to room. If you attempt to charge without selecting a reservation, Dizlog will prompt you to choose one.
Checkout accuracy: When checking out guests, verify all pending room charges and POS orders. Late charges should be processed before final checkout.
API/webhook errors: If orders are not posting, double‑check your API key and webhook configuration in Dizlog.
Forward‑Looking Considerations
This integration streamlines the process of posting POS transactions to guest folios in Cloudbeds. As Dizlog and Cloudbeds continue to evolve, consider the following improvements:
A real‑time reservation synchronisation indicator within Dizlog to show when data is up to date.
Enhanced error messaging when API keys or webhooks are misconfigured.
Support for group folios and split charges for shared reservations.
Optional guest messaging to confirm charges before they are posted to the room.
