Overview
The Cheque Voucher module lets you record and manage payments to suppliers that are paid by cheque.
From here you can:
See a list of all cheque vouchers with their status and payment numbers.
Create a new cheque voucher for one or more supplier bills or expenses.
Move each voucher through an approval flow (Draft → Submitted → Approved → Released / Void).
The page is under Financials → Accounts Payable → Cheque Voucher in the left-hand menu (you can see it grouped with Bill, Expense, Accounts Payable Vouchers, and Cheque).
Key Features
1. Cheque Voucher List
On the main Cheque Voucher page you’ll see:
Tabs by status – All, Draft, Submitted, Approved, Released, Void. Changing the tab updates the list.
Filters – Payee Name, Date From, Date To, plus a Reset Filters button (shown in the wireframe).
Table columns
Voucher number
Date
Payee
Amount (in your business currency)
Status (shown with a colored label)
Payment No. (the linked cheque reference, or “–” if none yet)
Each row has action buttons to view, edit (for drafts), and open an Actions menu.
2. New & Edit Cheque Voucher Form
When you create or edit a cheque voucher, the form includes:
Supplier – select the supplier you are paying.
Payee Name – who the cheque is made out to (required).
Date – voucher date.
Bank Account – bank account reference for the payment (optional).
Memo – free-text notes (optional).
Below these details you work with either Open Bills or Voucher Lines:
Open Bills section – shows unpaid bills for the selected supplier. You can choose bills to pay and set how much to pay for each, up to their remaining balance.
Voucher Lines section – a table where each line has:
Source Type (Bill Payment, Expense, Advance, Adjustment)
Description
Amount
Optional tax withheld amount and tax withheld rate
A Total Amount value is shown at the bottom of the lines.
3. Approval & Control Actions
From the list view, the Actions menu for each voucher can show: Submit, Approve, Reject, Void. The available actions depend on the voucher’s status.
Actions are confirmed through a confirmation popup so you do not change status by mistake.
4. Connected Modules (Requirement 10)
The Cheque Voucher module is connected to other parts of Accounts Payable:
Bill (Financials → Accounts Payable → Bill)
Open Bills in the voucher form come from the Bill module. You select these to pay by cheque.
Expense (Financials → Accounts Payable → Expense)
Voucher lines can use Source Type = Expense, so a cheque voucher can be used to pay or record supplier expenses.
Cheque (Financials → Accounts Payable → Cheque)
The Payment No. column in the Cheque Voucher list shows a checkId value or “–”, indicating whether a cheque record exists.
Accounts Payable Vouchers & AP Reports
Cheque vouchers sit inside the same Accounts Payable group as Accounts Payable Vouchers, Accounts Payable Summary, and Accounts Payable Detail in the sidebar.
This means the amounts you record here feed into your overall Accounts Payable reporting.
Getting Started
Sign in to DizLog and open the Dashboard.
In the left menu, go to Financials → Accounts Payable → Cheque Voucher.
Check that you already have:
Suppliers set up.
Bills or expenses created if you plan to link them to the cheque voucher (from the Bill or Expense modules).
You are now ready to view existing vouchers or create a new one.
How to Use
A. View and Filter Cheque Vouchers
Go to Cheque Voucher.
At the top, use the status tabs (All, Draft, Submitted, Approved, Released, Void) to see vouchers in a specific stage.
Use the filters above the table (Payee Name, Date From, Date To) to narrow the list.
Click Reset Filters to clear your search and show all vouchers again (as shown in the wireframe).
Review the table:
Check the Voucher number, Date, Payee, Amount, Status, and Payment No.
B. Create a New Cheque Voucher
On the Cheque Voucher list page, click New Check Voucher in the top-right corner. (Visible in the wireframe.)
In the Voucher Details section:
Supplier – choose the supplier.
Payee Name – enter the payee name (required).
Date – set the voucher date.
Bank Account – enter or select the bank account reference if needed.
Memo – type any notes (optional).
In the Open Bills section:
If you selected a supplier with unpaid bills, these will appear as a list.
Tick the bills you want to pay.
For each selected bill, set the amount you want to pay (you can partially pay, but not more than the bill’s remaining balance).
Click Create Voucher.
The system will move you to the Voucher Lines section so you can review or fine-tune each line.
In the Voucher Lines table:
For each line, check or set:
Source Type – choose Bill Payment, Expense, Advance, or Adjustment.
Description – brief explanation of what this payment is for.
Amount – confirm or edit the payment amount.
Optional Tax Withheld Amount and Tax Withheld Rate (%), if you need to record withholding tax.
Use the Add New Item / Delete controls (trash icon) to add or remove lines as needed.
Review the Total Amount at the bottom of the table.
When ready, click Create Voucher (or Create Vouchers, as labelled in the button) to save.
You’ll see a success message indicating the voucher has been created.
The voucher will now appear in the Cheque Voucher list with Status = DRAFT.
C. View or Edit an Existing Cheque Voucher
In the Cheque Voucher list, find the row you need.
To view details, click the eye icon.
To edit a draft voucher:
Make sure the voucher status is DRAFT.
Click the pencil icon; the form will open in edit mode.
Update the voucher details, lines, or memo as needed, then save.
(Non-draft vouchers can be viewed but not edited from the pencil icon.)
D. Submit, Approve, Reject, or Void a Voucher
In the Cheque Voucher list, click the More (⋮) button on the right side of the voucher row.
The Actions menu opens with options depending on the voucher’s status:
Submit – move a draft voucher into the submitted state.
Approve – mark a submitted voucher as approved.
Reject – send back a submitted voucher if something is wrong.
Void – cancel a voucher (e.g., if it should not be paid).
Choose the action you want.
A confirmation popup will appear; read the message and click Confirm to proceed.
The voucher’s status and the tab it appears under will update accordingly.
E. Understand Payment No. and the Cheque Module
Once a cheque record is linked to a voucher, the Payment No. column shows its reference (from checkId).
If the column shows “–”, no cheque has been created or linked yet.
You can review detailed cheque information in the Cheque module under Accounts Payable, which uses the same payment reference.
Troubleshooting
1. “No check vouchers found”
This message appears when there are no vouchers that match your filters.
Try:
Switching to the All tab.
Clearing the Payee and date filters using Reset Filters.
2. I can’t see any “Open Bills” when creating a voucher
The Open Bills section only shows bills for the supplier you selected that are still unpaid.
Check that:
You have chosen the correct Supplier.
There are unpaid bills for that supplier in the Bill module.
If there truly are no open bills, you can still record payments using manual Voucher Lines (for example, with Source Type = Expense or Adjustment).
3. The system won’t let me create the voucher
The Create Voucher button will only work when:
Required fields are filled:
Supplier
Payee Name
Date
At least one Open Bill is selected or you have added at least one Voucher Line with an amount.
Double-check these fields, then try again.
4. I don’t see Submit / Approve / Reject / Void in the Actions menu
The module only shows actions that are allowed for the voucher’s current status. For example, Submit is for drafts, Approve and Reject are for submitted vouchers, and Void is available only in certain states.
Make sure you are looking at the correct voucher status (Draft, Submitted, etc.).
If you still cannot see the expected action, contact your system administrator — access to some actions may depend on your role.
5. Payment No. stays “–” even after I expect a cheque
This means no cheque record is linked to the voucher yet.
Check the Cheque module to confirm if the cheque has been created.
If the cheque exists but is not linked, follow your internal process for linking or recreating the cheque record.
By following this guide, you can confidently use the Cheque Voucher module to manage cheque-based supplier payments and keep your Accounts Payable records aligned with your bills, expenses, and cheque records.
