Accounts Payable Bills: Step-by-Step Guide

Overview

The Bill module in DizLog is where you record and track supplier bills (vendor invoices) that your business needs to pay.

From this screen you can:

  • See all existing bills.

  • Create new bills from scratch or from a Purchase Order.

  • Edit or void incorrect bills.

  • Monitor how much has been paid and how much is still due.

This module sits under Financials → Accounts Payable → Bill in the left-hand menu.

It works together with:

  • Suppliers → My Suppliers – to choose the supplier on each bill.

  • Products & Services – to pick the items or services you were billed for.

  • Inventory Management / Purchase Orders – to link a bill to a Purchase Order.

  • Financials → Accounts Payable Summary / Detail – which report on the bills you record here.

  • Accounting Setup – where accounts, tax rates, and payment terms used in the bill are defined.


Key Features

Based on the screen and code structure, the Bill module provides:

  • Bill list with filters

    • Filter by date and location.

    • Search by reference number or supplier.

    • View separate tabs for All, Draft, Submitted, Approved, Paid, Void statuses.

  • New Bill form

    • Optional link to a Purchase Order.

    • Fields for Project, Supplier, Location, Date, Due Date, Reference, SI Number, and tax handling (“Amounts are”).

    • Toggle for Apply Withholding Tax (item-based).

  • Line items and discounts

    • Add one or more items or services with quantity, price, account and tax rate.

    • Enter bill-level discounts below the item table.

    • Automatic calculation of subtotal, discounts, tax, withholding tax and total.

  • Attachments

    • Attach supporting documents (for example, a scanned supplier invoice).

  • Status & approval workflow

    • Save a bill as Draft, Submitted, or directly Approved depending on your save option and approval rules.

    • See status tags (for example Auto approved, Paid, Void) in the bill list.

  • Bulk & export tools

    • Import Bills from the + Add Bill dropdown.

    • Export or print using the icons (download, PDF, print, share) at the top right of the list.

  • Row actions

    • View/Edit an existing bill.

    • Print, Delete or Void from the Actions menu on each row.


Getting Started

Before you start entering bills, it helps to have these set up:

  1. Suppliers

    • Go to Suppliers → My Suppliers and make sure your vendors are listed.

  2. Items / Services

    • Go to Products & Services and check that the items you buy from suppliers exist.

  3. Accounts & Tax

    • Under Accounting Setup, confirm that your chart of accounts and tax rates are configured.

  4. Purchase Orders (optional)

    • If you use POs, create them first under Inventory Management → Purchase Orders so you can link them to bills.

Once these are ready, you can start using the Bill module.


How to Use

1. Open the Bill module

  1. Log in to DizLog.

  2. From the left menu, click Financials.

  3. Under Accounts Payable, click Bill.
    The Bills list page will open.


2. Understand the Bills list

At the top of the page you will see:

  • Date filter – controls which bills appear, based on bill date.

  • Status tabsAll, Draft, Submitted, Approved, Paid, Void.

  • Search Bill – search by reference number or bill information.

  • Location filter – limit results to a specific store or branch.

  • Export icons – download, PDF, print, or share the list.

The table shows (columns may vary slightly):

  • Supplier – who issued the bill.

  • Status – e.g., Auto approved, Paid.

  • Reference – internal reference number.

  • SI Number – supplier invoice number.

  • Date and Due Date.

  • Paid – total amount paid.

  • Due – remaining balance.

  • Actions – View/Edit, Print, Delete, Void, Share.

Use these tools to quickly find and review any bill.


3. Create a New Bill

  1. On the Bills page, click + Add Bill.

  2. Choose Add Bill from the dropdown.
    You’ll be taken to the New Bill form.

3.1 Fill in the bill header

At the top of the form:

  1. Purchase Order (Optional)

    • If the bill relates to an existing PO, select it here.

  2. Project (optional)

    • Choose a project if your business tracks bills by project.

  3. Supplier

    • Pick the supplier from the My Suppliers list.

  4. Location

    • Select the store or branch that received the goods or services.

  5. Date

    • The bill date.

  6. Due Date

    • When the bill is due.

  7. Reference

    • Internal reference number (auto-suggested based on system sequence).

  8. SI Number

    • Supplier’s invoice number.

  9. Amounts are

    • Choose how tax is treated (for example “No Tax”).

  10. Apply Withholding Tax (optional)

    • Turn this on if the bill is subject to withholding tax. This is item-based.

  11. Attachments

    • Click Attachments to upload files such as PDF or image copies of the invoice.

3.2 Add line items

In the Bill items table:

  1. In Description, type a short description (optional).

  2. In Item, click Select Item or Service and choose from your products/services list.

  3. Enter Ordered Qty and Received Qty:

    • For bills not based on a PO, set both to the quantity being billed.

    • For bills linked to a PO, Ordered Qty may come from the PO and Received Qty shows what you are billing now.

  4. Suppliers column (if shown) is usually filled automatically from the selected supplier.

  5. Enter Unit Price.

  6. Choose the Account (expense or asset account) for this line.

  7. Select a Tax Rate, if applicable.

  8. In the Discounts column, you can add line-level discounts if enabled.

To add more lines:

  • Use the Add New Item or Bulk Add Items buttons under the items section.

3.3 Add bill-level discounts (optional)

Below the item table:

  1. In the Bill-level discounts section, click Add Discount.

  2. Enter the discount amount or rate as required.

  3. You can add multiple bill-level discounts if needed.

These are applied to the total after line discounts.

3.4 Review totals

On the right or bottom of the form you’ll see a summary:

  • Subtotal before discounts

  • Subtotal after discounts

  • Tax

  • Withholding tax (if enabled)

  • Total

Check that these values match the supplier invoice.

3.5 Save the bill

At the bottom, the Save button has a dropdown with several options:

  • Save as draft

    • Keeps the bill in Draft status for later editing.

  • Save (continue to edit)

    • Saves your changes and stays on the form so you can keep editing.

  • Save and submit for approval

    • Moves the bill into Submitted (or automatically Approved, depending on your approval settings).

Choose the option that matches your process.


4. Import Bills in bulk

If you have many bills to enter:

  1. On the Bills list page, click the part of the + Add Bill button.

  2. Choose Import Bills.

  3. In the Import window:

    • Download the provided template (if shown).

    • Fill in the bill details in the file.

    • Upload the completed file and follow the on-screen steps.

Imported bills will then appear in the list, usually as Draft or Approved depending on your settings.


5. View or Edit an Existing Bill

  1. On the Bills list page, find the bill you want.

    • Use the search box, date filter, location filter or status tabs if needed.

  2. Click View/Edit in the Actions column.

  3. The bill form opens:

    • Make the necessary changes.

    • Save using Save as draft, Save (continue to edit), or Save and submit for approval.

If the bill is already Paid or Void, some fields may be locked based on your company rules.


6. Delete or Void a Bill

Use these carefully:

  1. On the Bills list page, go to the bill.

  2. Click the next to View/Edit in the Actions column.

  3. Choose:

    • Delete – remove the bill entirely (commonly used for test or wrongly created drafts).

    • Void – keep the bill record but mark it unusable; it will show Void status.

  4. Confirm in the pop-up message.

Voiding is usually safer than deleting, because it keeps the history for audit and reporting.


7. Print or Share a Bill

  1. In the bill row, open the Actions dropdown and choose Print,
    or use the Print / PDF / Download / Share icons at the top right of the list.

  2. Follow your browser’s print or download prompts.


Troubleshooting

A. I can’t see my bill in the list

  • Check the Date filter – make sure the bill’s date is inside the selected range.

  • Check the Status tab – if the bill is Draft, Submitted, Approved, Paid or Void, pick the matching tab or choose All.

  • Check the Location filter – select All or the correct branch.

B. The Save button doesn’t work or I get a validation error

Make sure:

  • Supplier, Location, Date and Due Date are filled in.

  • At least one line item is added with quantity and price.

  • Required fields like Account and Tax Rate (if enabled by your setup) are selected.

Fields with a small warning icon or red outline usually indicate what is missing.

C. Totals look wrong

  • Verify each line’s Ordered Qty, Received Qty and Unit Price.

  • Check line discounts and bill-level discounts – they reduce the total.

  • Confirm that Tax Rate is correct.

  • If Withholding Tax is turned on, remember that it reduces the payable total.

D. I can’t delete or edit a Paid bill

  • Bills in Paid status may be locked to protect your accounting records.

  • Instead of deleting, you may need to Void the bill or create an adjustment using your normal Accounts Payable process (for example via payment or journal modules).

E. Imported bills did not appear

  • Confirm that the import file follows the template format (columns, date format, required fields).

  • Check the Date and Status filters – imported bills might be in Draft or another tab.

  • If the system shows an error during import, correct the mentioned lines in your file and try again.


By following this guide, you can confidently use the Financials → Accounts Payable → Bill module to record, review and manage supplier bills, keeping your payables and financial reports in sync with the rest of your DizLog inventory and supplier modules.
