Cash Disbursement Book: Step-by-Step Guide

Overview

The Cash Disbursement Book (shown on–screen as Cash Disbursements Journal) is a report under Financials ▸ Books of Original Entry. It lists all cash payments for a selected date range and location in a format that follows Philippine BIR requirements.

This page is view-only. You don’t add or edit transactions here. Instead, it summarizes cash disbursement entries that were already recorded elsewhere in DizLog (for example, through journals that feed your books of original entry).

The module sits inside the Philippines Accounting Reports group, together with:

  • General Journal

  • Sales Journal

  • Purchase Journal

  • Cash Receipts Journal

  • Cash Disbursement Book

  • General Ledger


Key Features

From the repository and screen layout, the Cash Disbursement Book provides:

  1. BIR-aligned cash book layout

    • Title and helper text indicate that the report is designed for BIR-aligned ledgers, journals, and cash books with export-ready totals.

  2. Date range filter with validation

    • A date picker lets you choose a start and end date.

    • The system checks that the start date is not after the end date; if it is, an “Invalid date range” warning appears and the report is not refreshed.

  3. Location filter

    • A Location dropdown lets you run the report for All locations or a specific branch/location.

  4. Refresh button

    • A Refresh button re-loads the report using the chosen date range and location.

  5. Cash disbursement table
    For each disbursement, the table shows:

    • Date

    • Reference Type

    • Reference #

    • Paid To (the person or party who received the cash)

    • Description

    • Account Code

    • Account Name

    • Debit amount

    • Credit amount

  6. At the bottom, a Totals row shows total debits and credits for the period.

  7. Export options (CSV and PDF)

    • CSV export with headers matching the table columns; includes a totals line and a title like “Philippines Cash Disbursement Book – [Location] – [Period]”.

    • PDF export using the on-screen report content and the same title, ready for printing or filing.

  8. Status handling

    • Shows a spinner while data is loading.

    • Displays a friendly error box if the report cannot be loaded.

    • If there are no entries, it shows “No cash disbursements for this range.”


Getting Started

1. Navigate to the Cash Disbursement Book

  1. Open Financials from the left menu.

  2. Go to Books of Original Entry.

  3. Click Cash Disbursement Book.

  4. The page header should read Cash Disbursements Journal, with a short description about BIR-aligned ledgers and cash books.

2. Understand related modules

Within Books of Original Entry, you will also see:

  • General Journal

  • General Ledger

  • Purchase Journal

  • Sales Journal

  • Cash Receipt Book

  • Cash Disbursement Book

Together, these form the full set of Philippines books and journals. Cash disbursement entries shown here come from the same underlying accounting data used by those reports; this screen simply presents them in cash-book format.


How to Use

Step 1 – Set the reporting period

  1. In the Date field at the top, select the start and end dates using the date picker.

  2. Make sure the start date is on or before the end date. If not, an Invalid date range warning appears and the report will not run.

Tips:

  • Use a full month or quarter if you want to match your statutory reporting periods.

  • Narrow the range if you’re investigating a specific transaction.

Step 2 – Choose a location

  1. Open the Location dropdown.

  2. Select All to see disbursements for all locations, or pick a specific branch.

  3. The selected location will be used in the report title and exports.

Step 3 – Refresh the report

  1. Click Refresh.

  2. While data is loading, a spinner is shown.

  3. Once loaded, the cash disbursement table appears.

If there are no entries for your filters, you’ll see “No cash disbursements for this range.”

Step 4 – Read the table

Each row represents one cash disbursement:

  • Date – when the disbursement was recorded.

  • Reference Type – type of source document (for example, a kind of voucher or journal type).

  • Reference # – identifying number for the transaction.

  • Paid To – who received the cash (e.g., a supplier or employee).

  • Description – short explanation of the payment.

  • Account Code / Account Name – which GL account the disbursement was posted to.

  • Debit / Credit – amount of the disbursement in debit and credit columns, formatted in PHP currency.

At the bottom of the table, the Totals row shows the overall debit and credit amounts for all listed entries.

Step 5 – Export the report

Export to CSV

  1. Click the Download CSV button (down-arrow icon).

  2. The system regenerates the data and downloads a CSV file whose:

    • Columns match the on-screen table (including “Paid To”).

    • Final row includes Totals for debit and credit.

You can open this CSV in Excel or any spreadsheet tool for further analysis.

Export to PDF

  1. Click the PDF button.

  2. The system converts the visible report into a PDF using the same title as the CSV export (Philippines Cash Disbursement Book, selected location, and period).

  3. Save or print the PDF as needed for BIR documentation or internal approvals.


Troubleshooting

1. “Invalid date range” message

What you see:

A yellow message box saying:

Invalid date range

Start date must be on or before the end date.

What to do:

  • Check the date picker and ensure the From date is not later than the To date.

  • Correct the dates and click Refresh again.


2. “Unable to load report”

What you see:

A red message box saying the report can’t be loaded and suggesting you adjust filters or try again.

What to do:

  • Confirm you have a valid date range and a valid location selected.

  • Click Refresh again.

  • If the problem continues, check your internet connection or contact your system administrator.


3. “No cash disbursements for this range”

What you see:

A gray message in the table area:

No cash disbursements for this range.

What to do:

  • Widen the date range (for example, use the whole month or year).

  • Change the Location to All to see if the disbursement was posted in a different branch.

  • Verify that the expected cash payments were actually recorded in your journals or other transaction modules.


4. CSV or PDF export looks empty or incomplete

Because the export uses the same filters as the on-screen report, an empty or partial export usually means the filtered view has no or few rows.

What to do:

  • First check the on-screen table. If it is empty, adjust Date and Location and click Refresh.

  • Once you see the correct entries on screen, try exporting again.


By following these steps, you can confidently use the Cash Disbursement Book to review, reconcile, and export all cash payments recorded in your DizLog books for the Philippines.
