Stock Receive History : Step-by-Step Guide

Stock Receive History is a read only timeline of all stock received into a location. See when an item arrived, quantities received, and which source document recorded it. Review entries from Purchase Orders or Transfer Orders.

Overview

The Stock Receive History module shows a timeline of all stock that has been received into a location.

You can use it to answer questions such as:

  • When did we receive this item?

  • How many units were received?

  • Which document (delivery, return, bill) did the stock come from?

The page is read‑only. It lets you review what has already been recorded in other modules (for example Purchase Orders or Transfer Orders). You do not change quantities here.


Key Features

From the wireframe and route, the module includes:

  • Date filter

    • A range picker at the top (e.g. 2025‑11‑12 – 2025‑12‑12) to limit the history to a period.

  • Location filter

    • A drop‑down (e.g. Prod Regression A) to see receipts for a specific branch or warehouse.

  • Search by product

    • A search box labelled Search by product to quickly find all receipts for one item.

  • Additional Fields menu

    • A button labelled Additional Fields that lets you show or hide extra columns such as:

      • Item Code (SKU)

      • Category

      • DR number

      • SI number

      • Lot number

      • Expiry Date

  • Export / print

    • Icons above the table (download, PDF/print) to export the list for offline review.

  • Receipts table
    Each row represents one receipt line. Default columns include:

    • Name – the document or transaction name (e.g. delivery, return, bill).

    • Item – product or service name.

    • Date Received – when stock was received.

    • Date Updated – last time that record was changed.

    • Stock Received – quantity received for that line.

    • Any extra columns you enabled via Additional Fields.

  • Pagination controls

    • Page number (e.g. Page 1 of 4) and rows‑per‑page selector.


Getting Started

  1. Open the module

    • In the left navigation, click Inventory Management.

    • Click Stock Receive History.

  2. Understand the layout

    • Filters (Date, Location, Search, Additional Fields) are at the top.

    • Export / print icons sit just above the table.

    • The table with receipt lines is in the middle.

    • Paging controls are at the bottom of the table.

  3. Set basic filters

    • Confirm the Location is the branch or warehouse you want to review.

    • Adjust the Date range to cover the period you are interested in.


How to Use

A. View all receipts for a location in a date range

  1. Go to Inventory Management → Stock Receive History.

  2. In the Date filter, pick the start and end dates for your review.

  3. In Location, select the correct site (for example Prod Regression A).

  4. Leave the Search box empty to see all receipts that match your filters.

  5. Scroll through the table or use the page arrows to move between pages.

You now see every receipt line for that location and period, including deliveries, returns, and service‑related receipts where applicable.


B. Look up receipts for a specific item

  1. Open Stock Receive History.

  2. Set Location and Date as needed.

  3. In the Search by product box, type part of the item name.

    • Example: type BIHON to show only entries for that product.

  4. Press Enter or click the search icon.

The table now shows only the receipts that include the product you searched for.


C. Show extra details (SKU, lot number, expiry date, etc.)

  1. On the Stock Receive History page, click Additional Fields.

  2. In the drop‑down list, tick the fields you want to display, such as:

    • Item Code (SKU) – internal product code.

    • Category – product category.

    • DR number – delivery receipt number.

    • SI number – sales invoice number (for returns).

    • Lot number – batch identifier.

    • Expiry Date – for products with shelf life.

  3. The table refreshes and adds the selected columns.

You can reopen Additional Fields at any time to hide columns you no longer need.


D. Export or print the history

  1. Apply your filters (Date, Location, Search, Additional Fields).

  2. Click the download / export icon above the table:

    • Depending on your setup, this may generate a spreadsheet or other file format.

  3. To print, click the printer icon.

  4. Follow your browser prompts to save or print the document.

This is useful when sharing receiving history with auditors, suppliers, or other teams.


Connected Modules

Stock Receive History does not create or edit inventory – it shows the result of actions taken in other modules. Based on names and screen labels, it connects to:

  • Inventory Management → Purchase Orders

    • When you receive stock against a purchase order, a line appears in Stock Receive History with the PO’s delivery details.

  • Inventory Management → Transfer Orders

    • When you receive a transfer from another location, those receipts also appear here, showing the source and destination locations.

  • Inventory Management → Adjust Stock / Inventory Count

    • Adjustments or corrections after a physical count change on‑hand inventory; the history of received quantities helps explain those changes.

  • Suppliers / Products & Services → Items List

    • Supplier names and item details (name, SKU, category) used in this report come from these master data modules.

These links help you trace a quantity back to its original document and supplier.


Troubleshooting

“I can’t find a receipt I’m looking for”

  • Check the Date range

    • Make sure the date range covers the actual Date Received of the transaction.

  • Check the Location

    • If the receipt was recorded at another branch or warehouse, switch the Location filter.

  • Clear the Search field

    • Remove any text in Search by product to ensure you are not filtering out results.


“The quantities don’t match my current stock”

  • Remember that Stock Receive History only shows received quantities.

  • Differences between this report and current on‑hand stock can be caused by:

    • Sales / consumption

    • Stock adjustments in Adjust Stock

    • Transfers out in Transfer Orders

  • Compare this history with Inventory History or Inventory Count to see all movements, not just receipts.


“Extra columns (SKU, lot number, expiry) are missing”

  • Click Additional Fields and verify that the columns you need are checked.

  • If a field shows as a column but is empty for some rows, the original document may not have recorded that detail (for example, no lot number was entered).


“The export file doesn’t match what I see on screen”

  • Confirm that your filters (Date, Location, Search, Additional Fields) are set correctly before exporting.

  • Some exports may always include certain standard fields; if an extra field isn’t in the file, check whether it is supported in your current setup.


By using the Stock Receive History module, you can quickly trace when and how stock arrived at each location, view supporting document numbers, and export clear lists for reconciliation, auditing, or supplier discussions.
