How to Add a Single Item for "F&B Service" Inventory Type?

Learn how to effortlessly add a single item to your inventory for "F&B Service" with our step-by-step guide.

Food and Beverage (F&B) Service inventory type is a restaurant, cafe, or grocery store that offers food and beverages. We recommend that you know the right type of inventory for your business. You can find more details at other type of inventory here.

Before adding an item to your inventory, make sure you have configure your inventory category. This can help you manage your items better in the future.

Choose which feature you are using:

  • Choose the "📦 Items" option in the left pane under "Products & Services"

  • In the Items tab, click "+ Add items"

  • You will be directed to the Stock/Catalog page. You have five tabs to update or fill out

    General Tab :

    • Add a product image: Choose from your own collection or use one of our available images.

    • In the Inventory type: Select Food Service

      • Non-inventory: Toggle on if not using stock inventory

      • Tax-exempt: Toggle on if the product is tax exempt

      • Tax included in price: Toggle on if the product selling price include tax

      • Halal : Toggle on if product is declared as halal

    • Choose a category: Select a category of your item to add for classification.

    • Item name: Enter the name of the food in the menu.

    • Item description: (Optional) Include information about the food, such as ingredients or a simple definition.

    • SKU : A unique code for your item;

      • You can enter a code in three ways:

        • Toggle the button next to the right to Automatically generate a code.

        • Scan a barcode

        • Enter the code manually

    • Bundle: (Optional) toggle if group two or more food items into one stock keeping unit.

    • Select a supplier: Add an existing supplier or create a new one.

    Sales Information tab:

    • Location: Select a specific location where the product is available

    • Unit of Measurement: Choose the unit of measurement which your product being offered

    • Conversion Value: Product conversion value (optional)

    • Purchase Unit of Measure: Unit of Measure when product was purchased (optional)

    • Item Cost: Enter Cost Price of the Product

    • Retail Price: Enter the Selling price of your product

    • Wholesale: Enter Wholesale price if applicable

    • Gross Margin: This is automatically computed by the system

    • Initial Stock: Enter Initial Stock on Hand if you are using Stock system for your product

    • Low Stock Alert: Enter stock level. Receive instant notifications as soon as a product's stock level drops below your predefined threshold.

    • Available on POS: Toggle the switch to allow you to make the product available for sale on your POS system.

    • Available on the online store: Toggle the switch to allow you to make the product available for sale on your online store.

Shipping Tab

  • Weight: (Optional) provide the weight of the product in kilogram

  • Width: (Optional) provide the width f the product in centimeter

  • Height: (Optional) provide the height of the product in centimeter

  • Length: (Optional) provide the lenght of the product in centimeter

Variant Tab:

Click "Add Variant" to start creating your product variants

Once you clicked Add Variants you now have the option to input variant options for your product:

Enter below:

  • Variant Name: Enter the name of the variant in the menu.

  • Option 1: Provide a description for the variant

    💡 You can add additional description or details of the variant by clicking on the "➕ Add Option" button

    💡 If you have multiple Variants for the food item, click on "Add Variant" button.

    📓 To remove the variant option, click on the "Remove Variant" button next to the Variant name field.

  • Click "Done" once done adding variant

    💡 If you enabled Variant option, you also have to fill in variants location, SKU, price and initial stock count.

Add Ons Tab:

Click "+Create Add Ons"

  • Group Name: Enter Group Name for your add ons
    Example of Group Name: Toppings

  • Minimum Choices: If you required minimum choices for customer availing add ons (optional)

  • Maximum Choices: If you required a maximum choices for customers availing add ons (optional)

  • Allow Quantity Selector: Toggle on if you will allow your customers to avail more than one add on in one product

  • Add Option: Enter options for your add-on group as below

    Name, Price and Location

  • Click "Done" once completed.

  • Once all are filled in, click on the "Save" button at the upper right to register the item in your inventory.

    That's it! You are now ready to create your very first product for your F&B Service

  1. Click Inventory/Catalog in the homepage

  2. Choose"+ Add new item/service"

  3. Select "Add item/service"

  4. Fill in the necessary details

    1. In the General tab:

      • Product Type: Select F&B Menu

      • Category: Choose the category to further categorize the product.

      • Add product image: Upload an image of the product.

      • Product Name: Enter the product name.

      • Product Description: (Optional) Enter a product description.

      • SKU : A unique code for your item;

        • You can enter a code in three ways:

          • Toggle the button next to the right to Automatically generate a code.

          • Scan a barcode

          • Enter the code manually

      • Supplier: (Optional) Choose the product supplier.

      • Item Cost: Enter the item's original purchase price.

      • Location: Choose the location where the product is stored.

    2. In the Pricing tab:

      • Location: Choose the place where the product is sold.

      • Tax-exempt: Toggle if excluded from tax calculation from checkout

      • Tax included in price: Toggle if price already includes the tax

      • Unit of measure: Choose the unit of measurement for the product (eg, per item, per kilogram).

      • Sale price: Enter the price of the product.

      • Wholesale price: Enter the price of the product if bought in bulk

      • Sell ​​in store: Enable or disable selling the product in-store.

      • Sell ​​online: Toggle to enable or disable selling the product online.

    3. Variants

      1. Click on "➕ Add Variant" button

      2. Enter Variant Name and click Done

      3. Add option by clicking "➕ Add Option" button

      4. Enter the option details (description for the variant) and click save.

        💡 You may continue to add variants by clicking on the "➕ Add Variant" button

      5. Once done, click on "Next: Set Variation Info" button at the bottom part.

      6. Enter the Price and Stock quantity of the said variant.

    4. In the Shipping Tab:

      • Weight: (Optional) provide the weight of the product in kilogram

      • Width: (Optional) provide the width f the product in centimeter

      • Height: (Optional) provide the height of the product in centimeter

      • Length: (Optional) provide the lenght of the product in centimeter

    5. In the Stock Tab:

      1. Location: Choose the location where the product is stored.

      2. Total stock on hand: Displays the total stock available for the product.

  5. Once all the fields are filled in with the details, press "Save item"button
